Voicemail Set Up
You will set up your Zoom Phone options, including recording an outgoing voicemail message and choosing when calls should be forwarded to voicemail in the Zoom web portal at WVU.zoom.us. You must log in and authenticate with your WVU login.
In a browser, navigate to WVU.Zoom.us, and click Sign In to enter your WVU Login credentials. You will see your Profile page.
In the menu on the left, click Phone to see your personalized settings for Zoom Phone.
Scroll down to the Call Handling settings, where you can set different actions for business hours and for closed hours.
In each group of call handling settings (business hours or closed hours), you can select “forward to voicemail” from a drop-down menu for occasions when:
you are busy on another call (defaults to call waiting),
or when a call is not answered (defaults to voicemail).
When a call is not answered, you can also check a box to allow callers to:
reach an operator (another WVU Zoom Phone user selected by you)
check voicemail (listen to your own voicemail using your PIN number).
Voicemail Greeting
Set your outgoing voicemail message under Greeting & Leave voicemail instruction for both business and closed hours call handling.
Click the Default recording to hear the Zoom default greeting, “We are sorry, there is no one available to take your call.”
If you would prefer to record or upload your own voicemail greeting, click Edit, then Add Audio.
Three methods are available to add a personal voicemail greeting. Click a tab at the top to choose a method.
Text to Speech:
Select a Language and Voice for the text-to-speech message.
Type your desired message in the Message to Play field. Up to 3000 characters are allowed.
Click Play to hear your message, and revise if desired.
Click Add at the bottom of the form to save the new message.
Upload a File you have previously recorded:
Click the Upload button to choose an audio file from your computer.
Click the Play icon to listen to the uploaded recording.
Click Add at the bottom of the form to save the new message.
Record by Computer in the Zoom web app:
In the Record Audio field, click the red record button to begin recording your message. You must allow access to your microphone.
Click Stop when you are finished.
Click Play to listen to your recording. Click Record Again if you want to redo the message.
Click Add at the bottom of the form to save the new message.
Other Voicemail Settings
Voicemail & Videomail Access – at the bottom of the Zoom web page for Phone settings, you can select other Zoom Phone users to grant access to listen to your voicemail.
You will receive an email notification when a voicemail is received with a transcription of the message.
Check Your Voicemail
In the Zoom Workplace desktop application, navigate to the Phone tool and click the Voicemail tab to review your voicemail messages.
Click on a voicemail message to see options for that item:
view the date and details, and read a transcription of the message
return the call (click the phone button)
play the voice message (play button)
Click the ellipsis for more options including share this voicemail with someone else, copy the number, create a contact, mark as unread or mark to follow-up on this item, block the number, or delete the message.
You can also filter your list of voicemails to show only Unread or Follow up messages by clicking the filter button at the top.
Select multiple items to delete by clicking the ellipsis (…) above the voicemail list, then click Edit voicemail. You can check boxes to select items, then click Delete all at the bottom of the list.
Voicemail from a Desk Phone
You can use a desk phone to check your voicemail messages if your admin has provisioned a desk phone for you. When playing your voicemail, you will hear the phone number or extension of the caller and the date and time the voicemail was received.
The steps below apply to all desk phones. You can also view specific instructions for Polycom VVX series and Yealink T4/T5 series phones.
If you have access to a shared voicemail inbox, you can play them using your desk phone, but you cannot identify if the message is from a shared inbox. Use the Zoom Desktop Client, Mobile App, or web portal to identify these messages.
Dial *86 on your desk phone to access the voicemail center. (This key code also works on the desktop client and mobile app.)
When prompted, enter your voicemail PIN followed by #.
Press one of these keys:
1 - Play all voicemail messages starting with your new (un-played) messages.
2 - Record a voicemail greeting. The greeting will be added to your Zoom Phone audio library. You can also record a voicemail greeting in the WVU Zoom web portal.
Follow the audio prompts to manage your voicemails.
