Zoom Privacy and Security

WVU has implemented numerous settings to ensure safety and privacy while using Zoom. Read this article to become familiar with Zoom privacy and security at WVU.

Passcode Settings

WVU has set the following passcode settings for Zoom by default: 

  • Require a passcode and/or waiting room when scheduling new meetings

  • Require a passcode and/or waiting room for instant meetings

  • Require a passcode and/or waiting room for Personal Meeting ID (PMI)

  • Meeting passcodes are now required to meet the following conditions:

    • Have a minimum length of 8 characters

    • Have at least 1 letter

    • Have at least 1 number

  • Mute participants upon entry

  • Private chat will be disabled.

Zoom-bombing and In-Meeting Security

Ensuring that the passcode settings are set to default (as shown above) will help prevent Zoom-bombing - having unwanted guests interrupt a Zoom session. In addition to passcode settings, ensure that Zoom links are shared directly with your intended audience and/or posted in your eCampus course, and that the intended audience knows not to share the link with anyone else. Be sure to keep Zoom up-to-date for the latest app security. 

As the Host, click the Security button to use in-meeting security controls to Lock Meeting, Enable Waiting Room, and also Allow participants to Share Screen, Chat, and Rename Themselves.

To remove participants from a meeting, do the following:

  1. Click the Participants button to open the Participants window. 

  2. Hover over the participant you wish to remove and click More then Remove. Once removed, the participant will not be able to rejoin the meeting. 

Should someone disrupt a Zoom event with hateful language and/or disturbing images that are racist, sexist or homophobic in nature, report the incident. The Division of Diversity, Equity and Inclusion will investigate these reports and may involve law enforcement, Student Conduct, Talent and Culture and ITS. 

Restrict a Meeting to WVU Users

WVU users can restrict a new meeting to WVU users by clicking the checkbox next to "Only authenticated users can join," then selecting "WVU Users Only" from the dropdown menu. If you don't see the WVU Users Only option, go to your Zoom Profile/Settings and turn on "Only authenticated users can join meetings."

Be sure to instruct your students/employees to use the Sign-In with SSO button and not the email and password fields on the Zoom app when logging in. 

Additional Privacy and Security Tips

  • Screen Sharing is set to Host Only by default. 

  • Require a Password is set to ON by default for all new meetings. Passwords must be no less than eight characters, have at least one letter and one number. This feature can be turned off in individual meetings or in your Profile. 

  • Private Chat is off by default, preventing one-to-one attendee messaging during a meeting in Chat. This feature can be turned on in your Profile. 

  • Keeping Join Before Host turned off will prevent attendees joining before the Host. 

  • Do not share meeting IDs publicly.
