Forwarding and Delegating Your Calls

Zoom Phone has options to forward your calls when you are unable to answer. You can also delegate another employee to act as your assistant.

Forwarding calls to another employee

The steps to set up forwarding phone calls to another employee are the same for calls during regular business hours, closed hours, and holiday/vacation hours.

  1. In the list of Call Handling options when you are busy on another call, or cannot answer calls during regular business hours, closed hours, or holiday hours, choose Forward to another extension from the drop-down menu.

  2. Click in the Search by Name field and choose an employee in the list, or type an employee’s name, email, or extension.

  3. Optionally, check the box to play your own voicemail greeting if the person you chose in step two also does not answer a call.

  4. Click Save.

Note: WVU is not activating the option to Forward a call to an external contact.

Delegating your Zoom phone roles

You can assign another employee to answer or make calls on your behalf.

  1. In the Delegation & Assistant area, click Set.

  2. Click in the User Search field and choose an employee name from the list, or enter another employee name to choose.

  3. Click Invite.

  4. The employee you chose will receive a notification and will need to accept the invitation. You will see the delegate listed as Pending until the employee accepts the invitation.

  5. After the employee accepts the invitation, a list of possible roles for the employee is displayed. Check the boxes for the correct roles.

  6. Click Add.

When you delegate your calls to another employee, you will both receive phone calls. Either of you can answer the call.

Forwarding in the Desktop

  1. Click the Profile menu in the upper right corner and choose Forward calls.

  2. In Set up call forwarding, the default is set to Name or number.

    1. When forwarding to another employee, begin typing a name in the field. Possible matches are displayed. Click the correct employee.

    2. When forwarding to Voicemail, the name of the default recording as set in the Zoom web site will be displayed.

  3. In the Forwarding duration field, click the drop-down arrow to choose the amount of time to have your calls forwarded to either an employee or to voicemail.

  4. Click Save.
