axiUm (Public)

axiUm is a dental practice management software used by the WVU School of Dentistry. Visit axiUm Help for information about using axiUm. If you need assistance with axiUm, contact School Of Dentistry Support at 304-293-1567 or sodits@hsc.wvu.edu.

The axiUm patient information system will be unavailable from 5:30 to 8:30 p.m. Friday, Dec. 8 for important updates that will result in several new features/improvements. Please log out when you finish work Dec. 8 but leave your machines powered ON to receive this important update. This work has been scheduled for after clinic hours to avoid disruption.

Please also be aware the axiUm Train environment will be down 11 a.m. to 2 p.m. on Thursday, Dec. 7 for upgrades.

Changes to axiUm

Below are changes to axiUm for the 7.12 upgrade.

Patients Module

The Rolodex/Patient Card module has been renamed to Patients. All windows and fields that previously referred to the Rolodex now display Patients.

Patient Approvals

The Show Criteria button previously introduced in the Patient Approvals window has been removed. This eliminates an unnecessary step and allows you to view the Criteria filters at all times during the approvals process.

Undo Patient Check-in

An Undo Patient Check In right-click option is available in the Patients module. This allows users to quickly undo the action when a patient is checked in by mistake.

Validate Email Address Format

axiUm now validates email addresses entered in the Email field in the Patient Info window > Personal and Guarantor tabs according to RFC standards. axiUm only supports one email address per Email field. When entering an email address for a patient or guarantor record, a new error displays if the address is invalid when you click Save.

For any invalid email addresses that existed prior to the upgrade, a new warning displays if you click Save. Depending on whether the patient/guarantor is present to update the address, you can click Cancel to close the warning and correct the address or click OK to keep the address in its invalid format.

Ability for faculty and residents to delete Perio exams

Users can now delete Perio exams from the Perio Chart module or the EHR module > Perio tab if they are completed in error or entered for the wrong patient. To delete a Perio exam:

  1. Select a patient and open the Perio Chart module.

  2. Click the View Form History icon to display the Select Perio Date window.

  3. Select a listed exam and click the Delete button.

  4. When prompted, click Yes to confirm your deletion. The deleted exam is removed from the list.
    To view deleted exams, select the Show All check box. Deleted exams will be displayed in gray.

Improved Perio exam approvals

Improvements have been made to how Perio exams display when users open the Edit/Review Perio window during the approval process.  If an exam is incomplete, the Complete button is now enabled. Additionally, if users attempt to approve an incomplete exam, a new “Incomplete Perio Exam” warning displays and prompts them to confirm before proceeding.

Improvements to Scheduler performance

Several improvements have been made throughout the Scheduler module to improve overall performance.

Improved EHR subtabs order in the navigation panel

The EHR sub-tabs now display according to the EHR tab order.

New column for tooth notes

A Tooth column has been added to the Tooth Notes/Conditions window. If any primary or permanent teeth on the odontogram have an associated note, the tooth number displays. Tooth note history should be preserved even after a patient’s primary teeth have been replaced with permanent teeth.e

Previously, tooth notes associated with primary teeth appeared to be associated with the permanent teeth once the primary teeth were replaced and this was confusing for users. Now, users can easily open the Tooth Notes/Conditions window and view which tooth a note is associated with, regardless of whether the patient has primary or permanent teeth.

  1. Open the EHR module.

  2. Select a tooth from the odontogram, right-click in the odontogram, and select Tooth Notes/Conditions… to display the Tooth Notes/Conditions window.

  3. Review the listed note entries and the new Tooth column as necessary.

Patient chart numbers display in Messenger

When working with Messenger and patient recipients, the patient’s chart number now displays after their name, allowing users to distinguish between patient records with the same name. It was previously recommended to only message patients by right-clicking in the Rolodex, however, after the upgrade, users can also begin utilizing Messenger to initiate messages to patients as the chart numbers now display here.

Added start and end dates for out-of-office messages

Users can now specify a date range for their out-of-office auto-reply message. Entering an end date is optional. If not selected, the auto-reply message continues until manually disabled. To configure out-of-office auto-reply date(s):

  1. Open Messenger and click the Options/Settings icon to display the Messenger Options window.

  2. If necessary, select the Out of Office radio button.

  3. Select the Only send during this date range check box.

  4. Enter dates in the Start Date and End Date fields respectively.

  5. Click OK to save your changes.

  6. Messenger displays Out of Office Auto-reply is ON and indicates your specified date(s).
