Pre-Award Handoff

When an award letter is received, the pre-award specialist will run the “Award Letter Received” activity and take the following steps:

  • Attach award letter and any other relevant correspondence in the “Award Letter Received” activity

  • AND Attach award letter and any other relevant correspondence in the “Add Attachments” activity of the proposal

  • Use the “Send Email” activity to ask the PI/admin contact to specify which cost center the award should be setup (if has not already been done during the prior JIT request).

    • Request that the project team use “Log Comment” to record it on the proposal

Once these steps are complete, the pre-award specialist will determine whether or not a review or negotiation/signing of an agreement is needed prior to award setup and take one of the following actions:

  • If the newly received award does not require negotiation, the specialist will reassign it to the AIM coordinator

    • AIM Coordinator will then assign to the person who will be completing the award setup

    • The AIM Specialist will proceed with award creation and set up

  • If the award does require an agreement or negotiation/review of terms and conditions, the proposal will be reassigned to the AN Coordinator

    • AN Coordinator will initiate an agreement and have it reviewed and signed.
