SOLE File Manager

The File Manager is used to upload and organize documents, within SOLE, that you want to link to content in your course/site. For example, you must first load your syllabus to the File Manager before it can be linked using the Course Information tool. You can upload course lectures, syllabi, schedules, and lecture slides, etc and link them to your course for students to access.

Users in the course do not have access to the File Manager. They will not be able to view your files until they have been linked to content objects created within Course Content.

Add files

  1. Enter the course/site whose content you want to manage.

  2. Access the File Manager by clicking the folder icon located near the bottom of the left navigation.

  3. The File Manager will display the files that may have already been uploaded to the course/site and can then be used to add more files and organize files. You must be listed as a course administrator to move files.

  4. Click the Add button to add content to the File Manager:

    • A window will appear giving you the option to click Upload Files which allows you to access the content’s location on your computer and upload a file.
      There is a 500 MB maximum file size limit when uploading to the File Manager.

      • You can drag and drop content (single or multiple files or folders) into the dialog box from an open folder.

      • Click to Allow overwrite of existing files or folders if you are replacing files or folders. The file name must match exactly to replace a file.

      • Click Automatically unzip any zipped files uploaded if you are uploading zipped files that you do not want to manually unzip later.

    • Choose Create a new file to create an .htm webpage that can be linked to Content and edited within SOLE.

    • Choose Create a new folder to organize the File Manager.

Organize files

Editing or re-organizing files and folders that have already been linked to Content within the course may result in broken links and errors within Content. Please be sure to edit the File Manager with caution.

  1. Access the File Manager for the course/site.

  2. Click the check box next to the file or folder you want to edit.

  3. The Rename, Delete, Copy, Move, Download, and Zip buttons will become available. An Edit button is also available for .htm webpages created within SOLE. 

    • Rename - rename the file or folder within the File Manager. 

    • Delete - delete the file or folder. Any files located within the folder will also be deleted. 

    • Copy - used to copy a file or folder to another location within the File Manager or to another course in which you are also an administrator. Once the copy button is clicked a list of all folders within the current course and all other courses is displayed. Click on a course to locate folders within it's File Manager. Choose the correct course/folder and click the Copy button to copy the file to that folder.

    • Move - the move buttons works in the same way as the Copy button except that the file or folder is moved from one location to another. Again, this can be done within the current course or from one course to another. 

    • Download - downloads the file to your computer so that it can be saved locally. This is only available on files. Entire folders cannot be downloaded. 

    • Zip - use this to Zip a large file within the File Manager. If a file is already zipped then the option to Unzip will be available instead.

    • Edit - only available on .htm webpages created within SOLE and allows you to edit the webpage.

Link uploaded content to your course

  1. After you have uploaded your content to the File Manager, click Content.

  2. You can now link the uploaded files from the File Manager to existing content or create new content to link to.

  3. If you are adding new content begin by choosing the type of content you would like to add. The following types of content will allow you to link files from the File Manager:

    • Folder - Create a folder(s) to organize your content.

    • Page – Adds an Information Block.

    • File – Link to a Zip, Word, Excel, PDF, or graphic files located in the File Manager.

    • Link – Add a link to an internal or external file.

    • Multiformat – Add an object in multiple formats. Use when uploading different formats of the SAME file. For example, you may upload both the Word document and its PDF version. Or you may upload a PowerPoint and then later attached a Relay recording of your lecture.

    • Announcement – Add an Announcement (You can also add Announcements within Information).

  4. Linking files to Content will require you to provide a Title and File path for the content. The Title is how the content will be displayed to users while the File path links the uploaded content within the File Manager you wish to display. To link your content click the Browse button and choose the file from the File Manager.

    If you have not already uploaded your files to the File Manager can upload them now. Clicking Browse opens the File Manager. Click Add to upload to the File Manager.  The file path field will populate automatically once uploaded.

  5. You have the option of linking your syllabus and course schedule to the Information section rather than the Content.  Uploading these files as a PDF allows students to view a preview of the file within SOLE in addition to opening, downloading, and viewing the file.
