On August 13, 2017, there were enhancements made to proposal submissions in WVU+kc (KC Blue Sheet). The following are several key changes made:
Deactivated Proposals:
When a proposal is submitted to a sponsor, its status in WVU+kc is automatically set to Pending. If an official approval or rejection letter is received from the sponsor, the Office of Sponsored Programs (OSP) updates the status to Funded or Rejected. Previously, all proposals that never received a funded or rejected letter perpetually kept the status of Pending in WVU+kc. Moving forward, all proposals that have been submitted to a sponsor but have not received either an approval or rejection letter after eighteen months, will automatically have their status changed to Deactivated.
Note: This does not mean that your proposal has been withdrawn from submission. This is only a change in status in WVU+kc to archive the proposal. In the event that the sponsor decides to fund or officially reject your proposal, OSP will be able to update the status of your proposal to reflect this change.
Search Proposals:
The Search Proposal functionality has been enhanced to include three different types of searches. The Simple Search has one field that you can use to search by proposal number, investigator name or project title. The Advanced Search has multiple fields that you can use to search on additional criteria such as proposal status, sponsor, grant mechanism, or OSP number. The Admin Search is the standard WVU+kc proposal search.
Printing a Blue Sheet:
To print a proposal summary sheet (Blue Sheet) from the Proposal Summary page, you will no longer export to .pdf; instead, click the Print Proposal link which will populate the summary sheet in a separate browser. Click to print from the browser’s menu and either print to a printer or save the document to your desktop.
Required Fields to Save a Proposal:
There are now only three fields that must be completed before you can save a proposal. These required fields will display in red and are: proposal type, department/lead unit and project title. Other starred fields (*) are still required prior to submission but are not required to save and move off of the first page of the proposal.
New Email Notifications:
Once a proposal has been submitted for review, a PI will now receive an email confirming that the proposal was successfully submitted. If a proposal has been submitted for review and has been pending approval of a PI or a departmental approver for more than 7 days, the person who needs to approve it will now receive an automatic email reminder that they need to take action on the proposal.
