Total Contract Management (TCM): Directions for Stakeholders
These instructions show how to view contracts for medical residents.

Sign into WVU Portal.
Select Mountaineer Marketplace.
On the left-hand side of the page, hover over Contracts, and select Search Contracts.
In the Simple Search option, make sure that the Active for Shopping option is Inactive. Note: The contract system is shared with Procurement and the Inactive option means that the contract is inactive for shopping and is a valid legal contract.
You may type in the name of a particular agreement in the simple search, or you may select Advanced Search in the upper right-hand corner of the page to define the search more clearly.
Using the Advanced Search, you may search by name, contract type, contract status, second party, work group, and numerous other options. Be sure that the Active for Shopping option at the bottom of the page is set to Inactive.
Under Contract Types, click WVU and then WVU Affiliates. Check the boxes to search for Medicine Student, Medicine Resident/Fellow, Multiparty (for agreements that allow students from other institutions to come to WVU), Rural Health Student or Scholarly Exchange, as examples.
Click Search.
After locating a contract, you will receive a list of the agreements currently in the TCM system. On the left-hand side is a summary of the number of agreements, their status, who is the second party, and other information. You can also see the basic information about the contract on the main part of the page, including contract number, name of the agreement, second party, status, start and end date, etc.
By clicking on the contract number, you can see more details about the agreement. To open the actual agreement, select Attachments at the bottom of the page.
To save your search parameters to make it easy to search again, click Save Search.
To export the search results to an Excel spreadsheet, click Export.
To run reports, hover over the contract icon on the left-hand side of the page and select Reports. Useful reports are:
Contracts that Require Attention: Expiring Contracts.
Workload by Contract Manager. We have added Lorrie Hardy as a contract manager on agreements in the Graduate Medical Education office so you may run the report and see the number of agreements attributed to her and the status of the contracts. By clicking on one of the numbers, you receive a list of the agreements with the current status of the agreement. The list can be sorted by clicking on the arrow adjacent to the various headings.
