Sponsored Accounts for Guests, Vendors or Others

Login accounts give users a unique set of credentials to access WVU systems. WVU employees can request, extend, or remove existing Login accounts for vendors, visitors, consultants, and other guests who do not require access to MAP, Applaud or MyExpenses at login.wvu.edu/sponsored. You must be connected to a campus network or the GlobalProtect VPN to access this site.

  • Requests will be completed within 3-5 business days of submission.

  • The sponsored account must start one day from the date of the request.

  • New requests and extensions are good for one year.

  • Changing a sponsor takes effect immediately. 

  • Ending a sponsored account takes effect the following day.  

  • If a guest is a non-resident alien (NRA), additional approvals may be required. Please review the Courtesy System Access information.

Sponsor Responsibilities

Sponsored account requests must be submitted by a WVU employee for the sponsored guest. When you submit a request, you become the sponsor and are responsible for the account of the person you are sponsoring. This includes:

  • System access that is requested

  • Renewing the account and access annually

  • Canceling access and accounts when no longer needed

  • Notifying ITS of any sponsor changes that are needed, if you leave WVU or responsibilities change

Request a new sponsored account

Sponsored account requests must be created by a WVU employee for the sponsored guest. You must be connected to a campus network or the GlobalProtect VPN to access this site.

  1. Log into the Sponsored Account site. You must be connected to a campus network or the GlobalProtect VPN to access this site.

  2. Click Request New and fill out the form to submit your request. 

  3. You will receive email confirmation regarding your request.  

The Sponsor and Sponsored user will receive emails once the request is processed. If approved, the sponsored user will also receive the Okta account activation email, and they need to complete the account activation process.

Request contractor card access

  1. Log into the Sponsored Account site. You must be connected to a campus network or the GlobalProtect VPN  to access this site.

  2. Click Request New and fill out the form.

    • Check the No Access Needed box. 

    • Enter the contractor's company name in the Title field (this will be printed on the contractor ID card).

  3. Click Submit. You will receive email confirmation regarding your request. Once the request has been approved, please allow one business day for the account to be created in the ID card system.

Request extension, change sponsor or backup sponsor, or end access for a sponsored account

Only the existing sponsor can submit requests for changes to an existing Sponsored Account.

  1. Log into the Sponsored Account site. You must be connected to a campus network or the GlobalProtect VPN  to access this site.

  2. To extend access, check the box next to the sponsored account’s name and click the Extend button. For all other options, click the sponsored account name and choose Change Sponsor, Change Backup, or End Access.

  3. After completing the process you will see a verification banner confirming your action, and the end date for the sponsored account will be changed. You will also receive a confirmation email. 

Cancel a request

  1. Log into the Sponsored Account site. You must be connected to a campus network or the GlobalProtect VPN  to access this site.

  2. Click Pending Requests

  3. Click the Request ID you wish to cancel. 

  4. Click the Cancel Request button. 

  5. Add notes (optional) then click Cancel Request. The request will no longer be listed in Pending Requests.
