How do I add HSC employees or external guests to my Team?

HSC employees and external users must be added as guests. Type the guest's entire email address and select the Add User as a Guest dropdown when it appears. The user will get an email confirming they have been added to your Team. View Microsoft's Team Owner, Member and Guest Capabilities page to learn more about what guests can and can't do in Teams. After you add a guest to a team, it may take a few hours before they have access. Note: If most of the Team's content is going to be used by HSC employees, it's better to have an HSC employee create the Team you're using.

A guest is defined as someone who isn’t an employee, student, or member of West Virginia University with an active WVU account. This includes email addresses at HSC.

Anyone with a non-WVU consumer email account (e.g. outlook.com, gmail.com, etc.) can participate as a guest in a team with full access to all of its features. If the guest doesn’t yet have a Microsoft account associated with their email address, they will be directed to create one for free.

Please note that WVU will not provide troubleshooting support for guests and guest-side access issues.

Guest can collaborate on Teams channels participate in the team via messaging , calendars, and meetings, along with uploading and editing documents that have been added to Team channels like other members.

What can’t a guest do on a Team?

Guest won’t be able to sync the Guests can’t sync files within the Team to their local computers using the OneDrive client . They however will still be able to collaborate on the files shared within a Team via the Teams client or Web Application.Guest will be and are restricted to the Teams teams they have access to and won't be able to are added to; they can’t search for other Teams teams within the WVU tenant or share files in a one-toon-one chat.

 What is the guest experience like?

When you add the guest's email address to a team, they receive an email from Microsoft Teams with the subject "You have been added as a guest to West Virginia University in Microsoft Teams."

Once the guest has accepted the invitation, they will receive an email with an access URL specific to them. Make sure the user saves this URL in their bookmarks for future access.

Team members will see a message in the General channel announcing that a guest has been added.

 How do I change Tenants?

A Microsoft Office 365 tenant is a collection of paid Microsoft services for your organization. Examples of different tenants would be West Virginia University is a different Tenant than the Health and Science Center.

When you get invited to a Team on another tenant you must change the tenant you are on within the Teams client or Web App to collaborate on that Team.

Switching between your various assigned tenants is quick and easy. To switch back and forth between the respective tenant, follow the steps below:

  1. Select your Profile photo.

  2. A listing of the organizations that you are a member of will be displayed.

  3. Select the organization you are wanting to interact on behalf.

How do I switch between Teams instances?

Guests who need to switch between Microsoft Teams instances for separate organizations can use the local Teams client to access one organization and the web client to access the other.

Guests can also switch between their Microsoft Office 365 tenants to use different instances of Teams. For example, HSC guests may need to switch between their HSC instance of Teams to access the WVU instance of Teams where they were added as a guest. To switch instances, select your profile photo within Teams then select the organization from the list of tenants you have access to.
